💫 Background

I've been working with ​TACT (Trans Advocacy & Care Team)​ for over a year to revolutionize their operations and foster growth.

When I first met AJ Schaerer, TACT was organized (and they were like, REALLY really organized) but burdened by tasks that demanded valuable time and energy.

My mission was clear: to design custom systems and processes that would alleviate their workload, automate tasks, enhance onboarding experiences, and elevate data collection.

The ultimate goal? To liberate their time for strategic pursuits like grant applications and fundraising.

💫 Challenges

AJ Schaerer voiced the challenges they faced:

“We had limited resources, particularly limited time, and we needed help automating and doing things efficiently.”

Despite their organization, the pressure was immense.

Volunteer and client onboarding, data collection, and client support were all being done manually and needed simplification.

💫 Solutions

Our approach was to craft tailored solutions that addressed TACT’s unique challenges head-on. We created a tech stack consisting of Airtable, Dubsado, Zapier, and now Asana to:

  1. Automate Onboarding and Offboarding Volunteers: We introduced streamlined systems that guided volunteers through onboarding and offboarding processes. Clear guidelines, automated paperwork, and comprehensive training resources lightened TACT’s load and streamlined the volunteer management process.

  2. Automate Onboarding and Offboarding Peer Clients: To amplify their Peer Counseling services, we engineered a seamless onboarding and offboarding system. By standardizing procedures, digitizing documentation, and implementing feedback mechanisms, TACT can deliver exceptional support while maintaining impeccable organization.

  3. Elevate Data Collection and Analysis: Recognizing the importance of data in securing grants, we’re currently developing a robust system for TACT to collect, store, and analyze crucial information. This data-driven approach will enhance their grant applications and maximize funding opportunities.

The transformation has been remarkable, leading to tangible outcomes:

  • Reduced Administrative Burden: Automation and streamlining have freed up TACT’s team, allowing them to focus on core activities like direct client interaction, grant applications, and fundraising.
