the *archaic* way I used to work » how I work now
For many years of my twenties, I worked for a speaker and author.
My official title was 'Director of Communications' - but I was somewhere between an Executive Assistant, an OBM, and a Therapist 😜
One of my many rando jobs was transcribing his YouTube videos for SEO purposes.
This was over 15 years ago, so the act of transcribing meant that I had to:
🐢watch his videos extremely slowly
🐢type as fast as I could
🐢 stop and rewind over and over again.
This took forever. I DID NOT LIKE DOING THIS, and my boss DID NOT like having to pay for all of the hours it took.
He was only paying me $20 an hour, but that sh*t adds up when the work is slow!
A few years after doing this, we found a company online that transcribed videos on the cheap.
The transcribers were professional typists, and they worked with a pedal that would pause and rewind the video for them as needed - so they could keep their hands on the keyboard and their focus on the transcribing!
They typed faster than me, their whole job was transcribing, and they had tools that allowed them to do it much more efficiently. They were quick!
Therefore, the rate was better, and we could get the job done faster.
I HAPPILY passed this work along to said company 🏆 everybody wins!
These days, this process feels SO archaic.
Loom, Youtube, AI Notetakers all transcribe really well now - no humans needed.
I used to have to pause constantly during meetings to take copious notes, then spend oooodles of time afterwards picking out the action items, THEN adding them to my or my client's project management tool.
😮💨 Annoying, boring, tiring.
THESE DAYS:
🏎️ Fathom transcribes the meeting for me.
🏎️ I copy the transcription and dump them into Claude AI using a /fathom-debrief skill I built.
🏎️ Claude pulls out the action items.
🏎️ I review and select the action items that feel most relevant, and Claude adds them to Asana for me with due dates and assignees.
IMPORTANT NOTE ON HOW I USE AI:
👍 AI does the grunt work for me.
👎AI does not to the THINKING for me.
I still write the follow up emails. I still decide which action items are worth moving forward and which ones aren't relevant after the call.
AI is just speeding it up. Just like those human transcribers all those years ago!
This is one of the one-hundred-million thoughts I have about AI (I have many more, please let me know if you want me to write more emails about AI or if you're sick of hearing about it).
AI is a nuanced topic. I am learning as much as I can about it, the good and the bad.
I am learning about the ethical concerns, the negative impacts it can have on business and its consumers, as well as how it can help me and my client get more work done, faster and higher quality.

My clients are really excited about using AI to supercharge their work right now.
When it comes to AI, I see my job as helping my clients implement AI in a way that is successful and sustainable.
Moving too fast with AI can cause more problems down the road if we don't do it right.
I admit I feel like I'm still learning a lot, but I'm doing my best to keep up.
In addition to all of the ethical concerns I have about AI, I recognize that I need to learn it well to stay competitive in my current industry and professional.
So I'm learning as much as I can as fast as I can.
And I have to admit: when I'm not feeling freaked out... its fun!
I'm a dork for stuff like this, how can I not be having fun?!?!!?
Claude can do a lot of cool stuff! And has been making my work easier once I figured out how to get the most out of it!
