the MOST important Project Management feature

I have yet to meet an agency that actually uses their project management tool to its fullest extent, especially its more basic and important feature: Task Aggregation.

In Asana its called "My tasks".

In ClickUp it's called "Assigned to me" (living under "My Tasks".

(If you are using Basecamp - I can't help you. Get out of there!!!)

Most agencies are using their PM tool as a fancy place to dump projects.

They usually have this ambitious setup from two years ago when someone got excited about Asana, built it halfway, and abandoned it when it stopped feeling manageable.

So you kind of use your PM tool, but most of the "project management" happens over Slack or email or ::gasp:: text message!

Here is why the Project Management tool you set up years ago never really felt useful:

❌ If you are just dumping tasks and projects into list inside of your PM tool - well, you might as well have just kept everything in a spreadsheet or Google Doc as a glorified series of checklists.

This is cumbersome and still means you have to scramble from page to page to figure what the hell you're supposed to be doing right now.

âś… The "My Tasks" feature in a well-designed Project Management tool AGGREGATES all of the tasks assigned to you based on date.

SO its very clear what is due TODAY across all of your projects.

Mine looks something like this:

I'm thinking of writing another email about how and why I set up "My Tasks" this way in Asana. Leave a comment and let me know if that's something you would be interested in!

If you aren't using the "My Tasks" feature... or ANY Project Management tool...

Then 🫵YOU🫵 are the "My Tasks" feature.

You are spending precious energy on

❓What did so-and-so say they would do after that last meeting?

❓When are they supposed to be working on it? When did I tell them I need it by?

❓Do they KNOW when I need it by?

❓Did they finish it? What's the progress?

Instead of your team checking for themselves - what is due today? This week????

Setting up the "My Tasks" feature in your Project Management tool is the first thing I build and the first thing I train your team on when we work together.

I'm deepening the container in which I work with clients to include a full Project Management tool build out.

Before, I focused on just the pieces that touched your offer.

But I found myself having to back track, over and over again, to set up more and more pieces of the Project Management tool the Creative Agencies I work with use and training their team on how to use it.

I needed them to be using the WHOLE tool, not just a piece of it, to get the most out of it.

So moving forward, building out the entire structure of the Project Management tool is an integral part of the work I do.

Then, when your team member logs in on a Monday, they know exactly what they're doing that day. Nobody has to ask.

Not using your Project Management tool to its fullest?

I have TWO more spots left this year.

The investment for working with me is currently $2,500/month for 6 months.

After these two spots are gone, the investment goes up to $3,500/month for those 6 months.
